Managing Workspace Members

Invite people to your workspace, assign roles, and manage access to your projects.
Add people to your workspace to collaborate on projects. You control who joins, what role they have, and which projects they can access.
Inviting Members
- Open your workspace settings by clicking your workspace name in the sidebar
- Go to the Members tab
- Click Invite
- Enter the person’s email address
- Select a role: Admin, Editor, or Viewer
- Click Send Invite
The person receives an email invitation. Once they accept, they appear in your member list with the role you assigned.
Who can invite:
- Owners and Admins can invite any role
- Editors can invite Editors and Viewers
- Viewers cannot invite anyone
If the person does not have a Sticklight account, they will be prompted to create one before joining your workspace.
Inviting Collaborators
Collaborators get access to specific projects without joining your full workspace. Use this when you need outside help on one project but do not want to share access to everything.
From the workspace members page:
- Open your workspace settings
- Go to the Members tab
- Click Invite
- Enter the person’s email address
- Choose Collaborator as the role
- Select the project(s) they should access from the dropdown
- Choose their access level: Admin, Editor, or Viewer
- Click Send Invite
From a project:
- Open the project you want to share
- Go to Project Settings
- Select the Members tab
- Click Invite Collaborator
- Enter the person’s email address
- Choose their project access level: Admin, Editor, or Viewer
- Click Send Invite
Once they accept, they can access only the projects you selected. They will not see other projects in your workspace.
Who can invite collaborators:
- Workspace Owners and Admins can invite collaborators with any access level
- Project Owners and Admins can invite collaborators to their project with any access level
- Project Editors can invite collaborators with Viewer access only
Changing Roles
You can change a member’s role at any time.
- Open your workspace settings
- Go to the Members tab
- Find the member you want to update
- Click the role dropdown next to their name
- Select the new role
The change takes effect immediately.
Who can change roles:
- Owners can change anyone’s role, including promoting members to Owner
- Admins can change roles for Editors and Viewers
You cannot demote yourself if you are the only Owner.
Removing Members
- Open your workspace settings
- Go to the Members tab
- Find the member you want to remove
- Click the menu icon (three dots) next to their name
- Select Remove from Workspace
- Confirm the removal
The person loses access immediately. Any work they contributed stays in your projects.
Who can remove members:
- Owners can remove anyone, including other Owners and Admins
- Admins can remove Editors, Viewers, and Collaborators
Removing Collaborators
Remove a collaborator from the workspace members page to revoke all their project access at once.
- Open your workspace settings
- Go to the Members tab
- Find the collaborator you want to remove
- Click the menu icon (three dots) next to their name
- Select Remove from Workspace
They lose access to all projects immediately.
Leaving a Workspace
If you no longer need access to a workspace, you can leave it.
- Open the workspace settings
- Go to the Manage Workspace tab
- Click Leave Workspace
You lose access immediately. If you are an Owner, you must promote another member to Owner before you can leave.
Managing Pending Invites
Invitations expire after 7 days. You can cancel a pending invite before it is accepted.
- Open your workspace settings
- Go to the Members tab
- Look for the Pending section
- Click Cancel next to the invite you want to revoke
Viewing Member Activity
Owners and Admins can see credit usage per member.
- Open your workspace settings
- Go to the Members tab
- View the usage breakdown by member
This helps you understand who is consuming credits and how your workspace balance is being used.
FAQs
Can I invite someone who does not have a Sticklight account?
Yes. They will receive an email invitation and be prompted to create an account before joining.
What happens to someone’s work if I remove them?
All their contributions remain in your projects. Removing someone does not delete their work.
Why do workspace members appear in a project’s Members tab?
Workspace members with access to all projects appear in each project’s Members tab for visibility. You cannot remove them from individual projects because their access comes from their workspace role. To change their access, update their workspace role or remove them from the workspace entirely.
Can I limit how many credits someone uses?
Owners can set monthly credit limits per member to control consumption. This is available in workspace settings under Members.
Can someone be both a workspace member and a project collaborator?
If someone is already a workspace member, their workspace role determines their project access. You do not need to invite them as a collaborator separately.
How do I know if someone accepted their invite?
Pending invites appear in a separate section of the Members tab. Once accepted, the person moves to the active member list with their assigned role.
